Terms & Conditions

Airworld Travel & Tours Sdn. Bhd.

Revised on 27 April 2026

Tour members are deemed to have read, understood, and accepted the following terms and conditions prior to the tour's departure. The term “Company” as stated herein refers to Airworld Travel and its authorised agents.

Booking / Deposit / Full Payment

  • Tour price is calculated in Ringgit Malaysia (MYR).
  • Tour price is based on a twin-sharing basis. A single room supplement is required for solo travellers.
  • Children aged 2 years old to below 12 years old (based on the departure date) must travel accompanied by an adult. Individuals aged 12 years old and above are charged at the adult rate.
  • A non-refundable deposit of MYR 2,000.00 per person is required upon registration for full-service airline packages or long-haul tour packages. For budget airline packages, a non-refundable deposit of MYR 1,500.00 per person is required.
  • To avoid unnecessary errors, the full tour balance must be paid 40 working days before departure or earlier (airlines may sometimes require immediate or early ticketing). Should any member fail to settle the balance within the stipulated deadline, the Company reserves the right to cancel the member's registration and offer the seat to another traveller.
  • Price differences within the same tour departure may occur due to varying airfare prices at different times of purchase. Members are required to acknowledge and understand this, and no dispute shall be entertained after registration.
  • Should the airline impose any increment in fuel surcharge (YQ) prior to departure, members are required to bear the difference in fuel surcharge accordingly.

Cancellation by Member & Refund

Members who wish to cancel, change, or postpone their booking must notify the Company in writing in advance. Any cancellation made by the member will be subject to applicable charges including but not limited to domestic and/or international flight tickets, hotel accommodation, and any form of cancellation and service fees.

Cancellation by Company

A minimum of 16 adult participants is required for a tour to be confirmed. Should the number of registered members fall below the minimum requirement, or in the event of flight allotment issues, flight cancellations, or other force majeure circumstances, the Company reserves the right to cancel the tour and will notify members as early as possible to arrange an alternative departure date, an alternative tour package, or a full refund of the tour deposit paid. The Company shall not be held responsible for any domestic flight tickets or other related expenses independently arranged by members.

Flight Alteration Clause

In the event that an airline makes any changes to a confirmed flight, including but not limited to changes in departure date, duration of travel, or flight schedule, the Company will notify tour members at the earliest opportunity and assist in facilitating the necessary itinerary adjustments. Tour members are required to travel in accordance with the revised flight details as finalised by the airline. Should any tour member elect to cancel their participation as a result of such changes, the standard cancellation charges as stipulated in the Company's prevailing Terms and Conditions shall apply, and no exemption will be granted. The Company shall endeavour to act in good faith and seek a fair and reasonable outcome that balances the interests of all parties involved, subject to the policies of the airline and prevailing circumstances.

Extension of Stay

All flight arrangements made by the Company are based on group airfare, which, in accordance with airline regulations, strictly does not permit any changes to departure dates or extension of travel. Tour members who wish to extend their stay upon completion of the tour will be required to purchase a new flight ticket independently at their own expense. All costs arising from such arrangements, including but not limited to the cost of the new flight ticket, additional accommodation, and any other related personal expenses, shall be borne solely by the tour member. The Company accepts no liability and will not provide any form of compensation in this regard. Tour members intending to extend their stay are strongly advised to inform the Company at the time of registration to allow for necessary coordination during the tour arrangement process.

Travel Documents & Visa

  • Members must ensure that the passport used for travel has a validity of at least six (6) months beyond the return date, and that there are sufficient blank pages under the “VISA / VISAS” section in the passport.
  • It is the sole responsibility of each member to ensure possession of the relevant visa, health certificate (if required), and work permit (if required).
  • The Company will provide assistance for visa application; however, approval of the visa cannot be guaranteed. All visa application processing fees shall be borne by the member.
  • Members must strictly adhere to the Company's stipulated deadline for submission of original passports and relevant documents for visa application purposes. Any losses arising from delays caused by the member shall be borne solely by the member.

Travel Insurance

Travel insurance is strongly recommended for all members (the Company is able to assist with the application). Compensation may be claimed for circumstances including accidents, illness, medical expenses and hospitalisation, injury, baggage loss, and damage. All compensation outcomes are subject to the final decision of the insurance company.

Liability

  • The Company shall not be held liable for any losses incurred by members who are deported or refused entry or exit by immigration authorities for whatever reason.
  • Upon entering a foreign country, should the group encounter any irresistible environmental or force majeure factors, the Company and its appointed agents reserve the right to alter hotel accommodation, means of transportation, itinerary flow, tour guides, and other arrangements accordingly.
  • Flight schedules are subject to final confirmation by the airline and may be changed without prior notice. The Company shall not be held liable for any losses arising from flight schedule changes. The order of attractions in the itinerary may be rearranged due to local operating hours or traffic conditions; however, no attractions shall be omitted as a result. The Company reserves the right to amend the itinerary without prior notice, and members' kind understanding is appreciated.
  • The Company acts as an agent for airlines, passengers, transport companies, and other related service providers. Any claims arising from baggage loss, missing items, accidents, injuries, or loss of personal belongings shall be resolved in accordance with the respective company's relevant regulations, and the Company shall bear no responsibility in this regard.
  • Any flight delays or misconnections arising from weather conditions or human error shall be borne entirely by the members. Members are strongly advised to purchase travel insurance to safeguard their own interests.
  • During the tour, should the tour leader determine that a member's conduct is inappropriate and poses a disruption to the tour arrangement or a safety hazard to other members, the tour leader reserves the right to request that the member withdraw from the tour. No refund shall be made for the uncompleted portion of the tour, and no other losses shall be compensated.
  • Tour guides, tour leaders, employees, or agents of the Company are not authorised to make any debt-related commitments or promises to members on behalf of the Company. The Company shall not be bound by any notice or document unless duly signed by the Company's management.
  • The Company does not accept any contractual liability and shall not be held responsible for any injury, damage, loss, delay, additional expenses, or inconvenience caused directly or indirectly by factors beyond reasonable control or prevention, including but not limited to war, civil unrest, fire, flood, abnormal weather conditions, natural disasters, epidemics, accidents caused by government or relevant authorities, as well as failures or accidents arising from mechanical, equipment, or industrial issues.
  • In the event of any local coup, riot, or civil disturbance prior to departure where no notice of flight cancellation has been received, cancellation charges corresponding to the costs incurred at that time shall apply to any member who elects to cancel their participation.
  • For tours that include designated shopping stops, members are required to enter the shopping establishments in accordance with the time allocated by the local tour guide. Members have the right to decline entry; however, a compensation fee of MYR 100–300 per shopping stop shall be imposed and paid to the local tour operator.

Charter Flight Package

  • Members acknowledge and understand that the flight schedule provided for charter flights is tentative. The final departure time is subject to confirmation by the airline and the relevant Civil Aviation Authority.
  • Should any member independently purchase domestic flight tickets through their own arrangement or via a third-party agent without prior acknowledgement or consent from the Company, and such tickets become void due to changes or cancellation of the charter flight schedule, the Company shall bear no responsibility for any related losses or expenses.
  • In the event of charter flight cancellation, schedule changes, or boarding prohibition due to irresistible factors such as government restrictions, the Company will make every effort to arrange a proper resolution. Members are strongly encouraged to purchase travel insurance to facilitate any future related compensation claims.

Muslim & Vegetarian Arrangements

Muslim tour members are required to confirm and acknowledge prior to registration that the hotel accommodation, restaurants, and meals arranged by the Company are not prepared to Halal standards. The tour leader and guide will make every effort to arrange vegetarian meals where possible during the tour. Any matters relating to Halal requirements raised after the completion of the tour will not be entertained by the Company.

Complaint

Should any member be dissatisfied with the tour arrangements, a written complaint must be submitted to the Company within one (1) week of the tour's completion. Complaints received after this period will not be entertained. The Company will conduct an investigation of up to one (1) week in accordance with the member's feedback, and all outcomes shall be determined by the Company's management. Any disputes shall be governed by and construed in accordance with the laws of Malaysia. The terms and conditions stated herein shall not be amended or removed unless notified in writing by the Company.

Other Information

  • The number of travel days includes both the departure and return dates.
  • Tour prices are calculated on a cash basis. The Company reserves the right to revise tour prices without prior notice in the event of currency fluctuation, changes in airfare, local taxes, or surcharge adjustments.
